Why people switch from OmniFocus

Your GTD system shouldn't be a second project

OmniFocus rewards system-builders: perspectives to design, defer dates to tune. Done Bear's five views are fixed on purpose, so there is nothing to maintain.

GTD that works on your work computer

OmniFocus ships only for Apple devices, and Omni offers its web version as a companion to one. Done Bear's full app runs in any browser and natively on Windows and Linux, with no Apple device needed.

Collaboration when work stops being solo

Hand a project to a teammate and OmniFocus has nowhere to put it: no shared projects, no assignees. Done Bear adds real-time workspaces and stays a task manager.

Who should stay on OmniFocus

If your perspectives fit how you think, and defer dates and Omni Automation are load-bearing in your week, stay on OmniFocus. A system tuned over years beats a fresh start in an app that will not let you tune it. Done Bear fixes the five views on purpose.

Moving from OmniFocus

There is no dedicated OmniFocus importer. Export CSV from OmniFocus, then bring it in through the CSV importer in Settings, Import. It matches columns named Task ID, Name, Notes, Status, Project, Tags, Defer Date or Start Date, Due Date, and Completion Date, and you confirm each one. Flags stay behind. A task deferred to today or earlier goes straight into Today, so set the start date to Do not import if you don't want that. Keep an OmniFocus Backup Document as your archive.

Frequently asked questions

How is Done Bear different from OmniFocus?

Both are GTD apps. OmniFocus gives you defer dates, custom perspectives, and deep hierarchy to build your own system. Done Bear ships the system: Inbox, Today, Upcoming, Anytime, Someday, and a Logbook, with nothing to configure and nothing to maintain. Pick OmniFocus to tune a system, Done Bear to use one.

Does Done Bear work on Windows and the web?

Yes. Done Bear has native Windows and Linux apps and a full web app, with no add-on and no Apple device needed. Our OmniFocus for Windows post covers what Omni's web version costs and needs.

Does Done Bear support team collaboration?

Yes, on every plan including Free. Done Bear has real-time shared workspaces where teammates see a project and a task can be assigned. OmniFocus has no shared projects and no assignees, so a system that grew from personal GTD has nowhere to put someone else's next action.

How does Done Bear compare to an OmniFocus license or subscription?

Done Bear is one price for every platform: free up to 250 tasks with unlimited workspace members, then $7 per member per month billed yearly. OmniFocus 4 costs US$74.99 (Standard) or US$149.99 (Pro) once for its Apple apps, or US$99.99 a year with web access included. A licence owner adds the web for US$4.99 a month or US$49.99 a year.

Can I move my OmniFocus projects to Done Bear?

Yes, as a CSV file, which OmniFocus writes on Mac, iPhone, and iPad. In Done Bear, open Settings, Import, choose CSV, and match the columns. Map the defer date to start date: a task deferred to today or earlier lands in Today, a later one in Upcoming. Flags, perspectives, and review settings stay behind. Check the preview before you confirm.
